Guidelines: Submitting Digitally
Acquired Case Studies On CD

With the increasing use of digital image acquisition, the requests made by laboratories desiring to submit case studies on disk has steadily risen over the past two years. The following guidelines for submitting cases have been established to ensure consistency in both the application and review processes.


1. Digitally acquired cases can now be submitted on CD. (MO disks will not be accepted at this time.)

2. Files must be able to be opened and viewed on any remote PC without special software. Many systems will automatically download additional software if needed to open files. (Please consult your individual system manual for specific details.)

3. Each testing application should have an individual CD (e.g.: If applying for accreditation in Extracranial Cerebrovascular, Peripheral Arterial and Peripheral Venous testing, you would submit six disks; two copies for each testing area.).

4. When placing case studies on the disk, each case should be organized in a folder named with the patient name, initials or other ID.

5. Images in the folders should be organized in a systematic sequence just as when cases are submitted on film, paper or videotape (i.e.: Carotid duplex - right side - all required gray scale images followed by the required Doppler waveforms. Left side - all required gray scale images followed by the required Doppler waveforms.).

6. Clearly label the CD itself (not just the CD case or cover) with your laboratory name, the coinciding application testing area and the accreditation organization with which the laboratory is applying (e.g.: Anywhere Med. Ctr. Vascular Lab, ICAVL Extracranial Cerebrovascular cases).

7. Be sure to open the disks prior to sending them. It is useful to test them on a computer located outside of the laboratory to ensure that there is no problem accessing the files.

8. Final reports and worksheets can be included on the disk, however at this time the application and attachments should be printed and submitted as per the application instructions.


The ICAVL anticipates that this additional option for case study submission will be beneficial for those laboratories that have digital acquisition capabilities.
